The Windows POS era is ending, and the replacement is a web based POS

If you run Retail Management Hero, Microsoft Dynamics RMS or another Windows point of sale system across several stores, you already know the story. The vendor roadmap has gone quiet, hardware is getting harder to replace, your ecommerce is bolted on through a sync tool, and every year you stay costs more in workarounds than the migration would.

Shopify POS is where most of that market is landing. It is web based, it unifies your online and in-store inventory, and Shopify’s offline business is growing over thirty percent a year. What Shopify does not do is move you. Shopify sells the software and the hardware and points you at a partner for everything else: the legacy POS data migration, the catalogue remodel, the accounting integration, the store level configuration and the staff training.

That is the work we do. And because we come out of the accounting and ERP world rather than the ecommerce agency world, we do it without leaving your controller with a reconciliation problem in month one.

The short version. Most Shopify agencies can configure a till. Very few can migrate twenty years of matrix inventory, rebuild store level pricing and promotions, and post daily store sales into QuickBooks Online or Business Central correctly. That gap is the whole reason this service exists.

You will find cheaper. Here is what cheaper covers. Shopify’s own store lists free and $500 migration services, and the partner directory has agencies starting at $400. Those move products, customers and images. They explicitly exclude historical data, and they do not touch matrix catalogues, store level pricing and promotions, purchasing and receiving, accounting or ERP posting, or training across multiple locations. If your migration is one store with a clean product list, use them and keep your money. If it is four stores and fifteen years of history, that is the project we price above.

Method

How a Shopify POS migration actually runs

The same sequence every time, so you always know what week you are in and what is expected of your team.

  1. Discovery and fixed scope

We walk your stores, read your current POS database, and document what actually happens at the counter as opposed to what the manual says. You get a written scope, a fixed price and a plan. If you stop here, you still own the document.

  2. Sandbox loaded with your own data

Before you sign anything larger, we load your real products, your real matrix, your real customers into a Shopify POS sandbox. You stand at a till and ring a sale on your own catalogue. Nothing sells a migration like that.

  3. Catalogue remodel and data migration

Products, variants, barcodes, suppliers, customers, gift card balances, loyalty points and sales history. This is the hardest part of every legacy POS migration and the part generic agencies underestimate.

  4. Configuration and extensions

Locations, staff roles, permissions, manager approvals, tax, receipts, smart grid layout, and any custom Shopify POS extension your counter workflow needs.

  5. Accounting and ERP connection

Daily sales summaries by store and department, tender reconciliation, cost of goods, inventory valuation and intercompany, posted into QuickBooks Online, Business Central or Dynamics GP.

  6. Training, go-live and hypercare

Staff training per location, a rehearsed cutover, a consultant on the floor for opening day, and a support period afterwards while the new routine settles.

Systems we migrate

Legacy POS systems we move to Shopify POS

Retail Management Hero

RMH Store and RMH Central. We have supported RMH since it was launched and run live RMH integrations today, so we know exactly what does and does not carry across to Shopify POS.

Microsoft Dynamics RMS

Microsoft RMS 1.3 and 2.0 including Store Operations and Headquarters. RMS is long past end of life and every year on it raises the migration cost.

Counterpoint and Retail Pro

Matrix-heavy apparel and footwear catalogues, store level pricing and multi-store transfers remodelled for Shopify POS.

Lightspeed and Square

Retailers outgrowing a POS-first tool with weak ecommerce. Usually the fastest migrations we do.

QuickBooks POS

Discontinued by Intuit. We move the counter to Shopify POS and keep your books in QuickBooks Online with a proper posting connection.

Homegrown and SQL systems

In-house point of sale built on SQL Server, Access or a spreadsheet layer. We read the database directly rather than relying on an export.

Why x2x

What makes this different from hiring a Shopify agency

  • We come from the accounting side. x2x eCommerce and AccSoft Consulting Group were founded by a CPA and have spent twenty five years connecting point of sale to Dynamics GP, Business Central and QuickBooks Online. Your controller will be able to have a real conversation about period close and inventory valuation.
  • We already ship the connectors. Our QuickBooks Online and Business Central integrations are live products with paying customers, not a bespoke build we start from scratch on your project.
  • We have run these stores. Our team includes people who have operated Shopify POS daily for years, not just configured it for a client.
  • Fixed price against a readable scope. Milestone billing, a named lead consultant through go-live, and a sandbox loaded with your own data before you commit.
  • Canada and United States. Toronto based, Eastern time, serving retailers across Canada and the US.

Questions

Shopify POS migration FAQ

How much does a Shopify POS migration cost?

Our fixed-price Shopify POS migration packages start at $7,500 USD for one or two stores, $18,500 for three to eight stores, and from $38,000 for nine stores or more. The price is set at the end of a paid discovery, so you know the number before you commit. Shopify plan fees and POS Pro at $89 per location per month are billed by Shopify separately.

How long does it take to migrate from a legacy POS to Shopify POS?

A single-store Shopify POS migration usually runs four to six weeks. A three to eight store chain runs eight to twelve weeks. The variable is almost never Shopify. It is the state of your product catalogue and how much sales history you want carried across.

Can you keep our QuickBooks Online or Business Central back office?

Yes, and it is the reason most clients pick us. We build the posting connection from Shopify POS into QuickBooks Online, Dynamics 365 Business Central or Dynamics GP so daily sales, tenders, cost of goods and inventory values land in the ledger the way your controller expects.

Do we lose our sales history when we move to Shopify POS?

No. We migrate products, variants, customers, gift card balances, loyalty points and as much transaction history as your reporting genuinely needs. Where full history is not practical to load into Shopify, we keep it queryable in an archive you can still report on.

Are you a Shopify partner?

Yes. x2x eCommerce is a Shopify partner, and we have been implementing retail point of sale systems since 2000 through our sister company AccSoft Consulting Group, including twenty five years in the Microsoft RMS and Retail Management Hero ecosystem.

What if we only need help fixing the Shopify POS setup we already have?

Start with the Shopify POS Health Check at $2,500. It is a two week fixed-fee audit of your configuration, inventory sync, app stack, permissions and reporting, delivered as a written findings document with a prioritised fix list.
