Microsoft Dynamics RMS migration to Shopify POS
Microsoft Dynamics RMS reached end of life in 2021. If your stores are still running it, you are unsupported, unpatched and increasingly hard to certify with payment processors. We move RMS retailers onto Shopify POS with their data, their reporting and their accounting intact.
What Microsoft RMS end of life actually means for your stores
Microsoft ended mainstream support for Dynamics RMS in 2016 and extended support in 2021. In practice that means no security updates, no new payment processor certifications, no Microsoft support path and a shrinking pool of people who understand the system. Meanwhile the Windows machines in your back offices keep getting older.
The retailers we meet who are still on RMS are not careless. They are running a system that works, and every quote they have had for replacing it has been vague about data, vague about price, or came from someone who had never seen a matrix item. That is the specific problem we solve.
We have been in the Microsoft retail ecosystem since 2000, through RMS, through Retail Management Hero, and into Dynamics GP and Business Central. We read the SQL database directly. We know what a fifteen year old RMS database looks like underneath, and we know which parts of it are worth carrying forward.
Microsoft RMS replacement options compared
An honest comparison. We implement Shopify POS and Business Central and have supported RMH for twenty five years, so we are not steering you toward the only thing we sell.
| Option | Best for | Trade-off |
|---|---|---|
| Shopify POS | Multi-store retailers who sell online as well, want a web based POS, and want one inventory across stores and web | Needs design work for matrix catalogues, complex promotions and house accounts. No native accounting posting, which is what we build |
| Retail Management Hero | Retailers who want a like-for-like Windows continuation of RMS with minimal retraining | Still a Windows client-server product. Defers the platform question rather than answering it |
| Lightspeed Retail | Single vertical specialty retail with modest ecommerce needs | Weaker unified commerce than Shopify, and you are migrating again if ecommerce becomes central |
| Dynamics 365 Business Central | Businesses that are really distribution or light manufacturing with stores attached | Heavier and more expensive than a POS-first move. Right answer less often than people assume |

Microsoft RMS migration FAQ
Is Microsoft Dynamics RMS still supported?
No. Microsoft ended mainstream support for Dynamics RMS in 2016 and extended support in 2021. There are no security updates, no payment processor certifications and no Microsoft support path. Retailers still running RMS are carrying real payment compliance and business continuity risk.
What are the alternatives to Microsoft RMS?
The realistic replacements for a multi-store RMS retailer are Shopify POS, Retail Management Hero as a like-for-like Windows continuation, Lightspeed Retail, or Dynamics 365 Business Central with a retail layer if the business is really distribution with stores attached. We implement Shopify POS and Business Central and have supported RMH for twenty five years, so we can compare them honestly.
Can you read our old RMS database directly?
Yes. RMS stores everything in SQL Server and we work from the database rather than from exports, which is how we recover matrix items, historical cost, supplier records and sales history that a standard export leaves behind.
How much does a Microsoft RMS to Shopify POS migration cost?
From $7,500 USD for one or two stores, $18,500 for three to eight stores, and from $38,000 for nine stores or more. RMS migrations sometimes carry a data remediation add-on because the databases have usually been running for fifteen years or more.
We moved from RMS to RMH years ago. Does that change anything?
Only in your favour. The data model is familiar to us either way, and an RMH database is usually cleaner than a raw RMS one. The migration path and pricing are the same.
